Classes & sections
The structure every student, timetable and mark sheet hangs off. 15 minutes for a whole school, less if you used a preset in the setup wizard.
A class is a year group — Class 6, Grade 10, Nursery. A section is a division within it — A, B, C, or Rose and Lotus if that is your style.
Students are not admitted into a class. They are admitted into a section of a class, which is why a class with no sections is a dead end.
Sidebar → Academics → Classes & Sections
The page opens on the Classes tab. Sections is the tab beside it.
Your school may not call them "classes"
If your provider or your school has set different academic wording, these screens say Grades, Years or Forms instead — and so does the rest of the system. The words change; nothing else does.
Adding a class
Add New Class
| Field | What to enter | Example |
|---|---|---|
| Class Name (required) | What your school calls the year group | Grade 10 |
| Class Coordinator / Head Teacher | The staff member who oversees the whole year group |
Then Create Class. You should now see it in the list.
The coordinator is not the class teacher
The coordinator oversees every section and subject of the year group. The teacher who takes the register for one section is set separately, under Sidebar → Academics → Assign Class Teacher. Filling in one does not fill in the other.
Name classes the way your staff say them
Grade 10, or Class 10, or X — pick one pattern and use it for every class. The name appears on report cards, ID cards, fee receipts and every dropdown. Mixed styles (Class 1 next to IInd next to Grade 3) are the single most common cause of a list that looks broken.
Adding sections
Sections tab → Add New Section
| Field | What to enter | Example |
|---|---|---|
| Class (required) | Which year group the section belongs to | Grade 10 |
| Section Name (required) | One name, or several separated by commas | A, B, C |
| Section In-charge / Coordinator | The teacher responsible for this section |
Typing A, B, C creates three sections in one go. Extra spaces are trimmed and duplicates are skipped, so re-running it is safe.
When you create several at once they all get the same in-charge. Change them individually afterwards with Edit.
Every class needs at least one section
Without one, that class cannot hold a single student — and the admission form will simply offer you nothing. If your school has no real sections, create one called A and forget about it.
Putting classes in the right order
Out of the box, classes sort by name, which puts Class 10 before Class 2. Fix it once:
Reorder, on the Classes tab. Drag the classes into the order you want, then Save Order.
That order is then used everywhere — dropdowns, reports, dashboards — not just on this page.
Reorder needs the whole list
If someone else adds a class while your Reorder window is open, saving is refused with "This list is out of date." Reload the page and drag again. Nothing was saved partially.
Adding many classes at once
Bulk Import, on the Classes tab, takes a CSV.
| Column | Required | What it holds |
|---|---|---|
Name | Yes | The class name |
Coordinator Email | No | The email of an existing staff member |
The file must be under 5 MB. Export CSV gives you your current classes in the same shape, which is the easiest way to get a template.
This is for classes, not students
Importing a spreadsheet of students is a different screen entirely — see the student admission pages.
Real example
Apex Academy runs Nursery to Grade 12, two sections per class up to Grade 8 and three above it. Their setup was:
- The setup wizard's Full K-12 (Nursery-12) preset — 15 classes in one click
- On the Sections tab,
A, Bfor each class up to Grade 8;A, B, Cfor Grades 9–12 - Reorder once, to put Nursery, LKG and UKG ahead of Grade 1
- Coordinators assigned later, once staff records existed
Total: about twelve minutes, most of it typing section letters.
Changing things later
| You want to | Do this |
|---|---|
| Rename a class | Edit on its row. The new name appears everywhere immediately, including on past records |
| Move a section to another class | Edit the section and change its Class |
| Retire a class you no longer run | Leave it. Deleting is blocked once it has history, and an unused class harms nothing |
Renaming rewrites history too
There is one class record, referenced by every past year. Rename Class 10 to Grade 10 and last year's report cards now say Grade 10 as well. That is usually what you want — but it is not a fresh start, it is a rewrite.
Deleting
The system refuses to delete anything that would orphan records, and tells you exactly what is in the way.
| You try to delete | Blocked when | Fix |
|---|---|---|
| A class | It still has sections | Delete or reassign the sections first |
| A class | Subjects are assigned to it | Remove those assignments first |
| A section | Students are enrolled in it | Transfer or remove those students first |
| A section | It has timetable entries | Clear that section's timetable first |
If a class has real history, do not fight this. An unused class costs nothing.
Common problems
| What you see | Cause |
|---|---|
| Classes sort as 1, 10, 11, 2 | Name order. Use Reorder once and it is fixed everywhere |
| A class does not appear when admitting a student | It has no sections |
| "Cannot delete … it has N section(s)" | Delete the sections first |
| "Cannot delete … N student(s) are enrolled" | Move those students to another section first |
| "This list is out of date" when saving a reorder | Someone changed the classes while you were dragging. Reload and retry |
| Bulk import rejects the file | Missing the Name column, or not a .csv |
| The coordinator dropdown is empty | No staff records exist yet — add staff first |
Sections created with odd names like A and A | Both were typed in the same comma list. Extra spaces are trimmed, but genuinely different names are kept |
