Getting your school account

How a school gets its login — either you sign up yourself, or your provider creates the account for you. 10 minutes, and it ends with you inside the setup wizard.

There are two ways a school ends up with an account, and they finish in the same place.

You sign up yourselfYour provider creates it
WhereThe Sign Up page on the platform addressYou receive an email and a password from the provider — see creating a school
You choose the planYesNo — the provider sets it
PaymentYou pay for a paid plan before the account unlocks, unless the plan is a free trialUsually already arranged
What happens nextThe setup wizardThe setup wizard

If your provider already sent you a login, skip to First login — everything above it is for schools signing up on their own.

Signing up yourself

Go to the platform address and choose Sign Up, or open /register directly.

You may not see this page at all

Some providers switch public sign-up off and create every school themselves. If there is no sign-up link, that is deliberate — ask your provider for an account.

The form is three steps. You cannot move forward until the step you are on is valid, so nothing is rejected at the end.

Step 1 — Membership

Choose Your Smart Plan. You will see only the plans your provider has made available for public sign-up, with their prices.

Pick the plan that matches your school's size. It can be changed later.

A trial plan is the easy start

If one of the plans is a free trial, choosing it gets you in immediately with no payment. Everything works during the trial — you are not on a crippled version.

Step 2 — Institute

FieldWhat to enterExample
Institute NameYour school's full name, exactly as it should appear on receipts and report cardsApex Academy
Head Admin NameThe person who will run the systemSunita Rao
Professional EmailThis becomes the login. It must not already exist on the platformprincipal@apexacademy.edu
Contact NumberThe school's mobile number, with country code+91 98765 43210

The email and school name are checked as you type. You should now see either Looks good. under the email, or a message telling you it is already registered.

Use a school address, not a personal one

The email becomes the account owner. If it belongs to a staff member who later leaves, the school's main login leaves with them. An address like principal@yourschool.edu or office@yourschool.edu survives staff changes.

Your school's web address is decided here

The system turns your school name into a web address — "Apex Academy" becomes apex-academy. If that name is taken, you are told what you will get instead (apex-academy-1).

That address becomes part of your public admission link, which you will print on posters and share on WhatsApp. Get the school name right now; changing it later breaks links people already have.

Step 3 — Security

FieldWhat to enter
Secure PasswordAt least 8 characters, with upper and lower case letters and at least one number
Confirm IdentityThe same password again
The security questionA simple sum, to prove you are not a bot

A strength meter advises you as you type. Symbols are not required.

Then choose Create Account.

What happens the moment you submit

Done for youDetail
Your school is createdWith its web address, currency and a fee receipt template already set up
Your admin account is createdAs the school admin, with full rights over your school
Your subscription record startsTrial period, or "awaiting payment" for a paid plan
Your provider is notifiedThey see the new school on their dashboard

Before you can get in

Depending on how your provider configured the platform, one or two checks may stand between you and the dashboard.

What you seeWhat to do
A page asking for an OTPEnter the 6-digit code sent to the mobile number you registered. This is the main check — you will not also be asked to verify email
"Please verify your email"Open the verification link sent to your registered email
Straight to the dashboardNothing to verify — your provider switched both checks off

No code and no email arriving?

Neither is your fault, and neither is fixable from your side. Verification messages are sent by the platform, not by your school. Contact your provider — their email or messaging setup needs attention.

Paying for a paid plan

If you chose a plan that is not a free trial, your account exists but is inactive until the first payment clears. You will land straight on the payment page.

  1. Choose a payment method from the ones your provider has enabled
  2. Pay, and wait to be returned to the system
  3. You should now see a success page, and your account is active

Until it is paid, every page except the subscription pages redirects you back with "Your account is currently inactive. Please complete your initial payment." That is expected — it is not a broken install.

Paying by bank transfer

If your provider offers manual or bank transfer payment, you upload proof of payment instead of paying online. Your account stays inactive until your provider approves it, which is a human step — allow for it.

First login

Go to the platform address (or your school's own domain, if your provider set one up) and sign in with your email and password.

Change the password your provider sent you

A password that arrived by email has been sitting in at least two inboxes. Change it before you do anything else.

Topbar user menu → Change Password

Enter your current password, then the new one twice, and choose Update Password.

Where you land

The first time a school admin signs in, the system does not show the dashboard. It sends you into the setup wizard, because a school with no academic session and no classes cannot do anything useful yet.

Follow the setup wizard from here — it is six short steps and most of them are one click.

You can leave and come back

Skip for now — I'll set up later puts you on the dashboard, and a setup checklist stays there until the work is genuinely done. Nothing is lost.

Common problems

What you seeCause
"This email is already registered"That address is already a user on the platform — a parent, a teacher, or another school's admin. Use a different one, or sign in instead
The sign-up page shows no plansYour provider has not published any plans for public sign-up. Ask them for an account
Every page bounces you to the subscription screenThe first payment has not cleared, or the subscription expired. See the message at the top of that page
A warning bar about expiry that will not go awayYour subscription is inside its grace period. Renew before the grace days run out or the account locks
You log in and land on the wizard againNormal until the two required items are done — an academic session, and classes with sections
The provider's password does not workAsk them to reset it. Do not ask for the platform master code — it is an emergency key, not a support shortcut
