Marks & report cards

Choose the exam, class, section and subject. You should now see the students with a box for each component — Theory, Practical, and so on.

Marks save as you go, so a half-finished class is not lost.

A teacher's subject list comes from the timetable

Not from Assign Subjects. A teacher with no timetable entries for that section sees an empty subject list and cannot enter a single mark — even though they are the class teacher and the subject is assigned to the class.

If teachers say marks entry is empty, build the timetable first. It is the most common cause and the least obvious.

Importing marks from a spreadsheet

There is an export template and a matching import, for schools that prefer to collect marks on paper and key them in one go.

Submit, then lock

Marks go through three states, and the difference matters.

An admin can unlock to reopen entry, which also clears the submitted flag so the teacher can work again. Unlocking is recorded.

Submit is the teacher saying "I am done"

It is not a formality. Until marks are submitted you cannot tell the difference between a subject with no marks entered and a subject a teacher is still working through — and that is exactly what you need to know the night before results.

Report card setups

A report card is not one exam. It is a setup — a named combination of exams, each with a weight.

A final report card weighted 20% Half Yearly and 80% Annual is two rows. A single-exam report card is one row at 100%.

The weights are yours to get right

Nothing checks that your weights add up to 100. Three exams at 40% each will produce numbers, and they will be wrong. Read the row back before saving.

Publishing results

Each exam has result settings that decide what parents can actually see.

Individual students can be put on hold with a reason, which the family sees: "Result withheld: Library book not returned. Please contact the school office."

Scheduled release is how you announce results at a fixed time

Publish the evening before, set the release for 10:00, and every parent sees the result at the same moment. No staff member has to be at a keyboard, and there is no window where some families know and others do not.

A result is visible only when every gate agrees

Three separate things can hide a result: the report card setup not being published, the exam's result settings withholding it, and the per-student hold. A multi-exam report card is blocked if any one of its exams is restricted.

When a parent says they cannot see a result that you published, check all three before assuming a fault.

The fee lock uses the student's total outstanding dues across all years, exactly as admit cards do. Soft locks can be overridden by staff who hold the override permission; hard locks cannot be overridden by anyone.

The order that works

  1. Teachers enter marks
  2. Teachers submit each class and subject
  3. Admin checks what is still outstanding, chases it, then locks
  4. Build or check the report card setup and its weights
  5. Generate marksheets for one section and read one report card carefully
  6. Publish results, with a scheduled release if you want a fixed announcement

Step 5 is the one people skip. One report card, read properly, catches a wrong weight, a missing component and a broken grade band in about two minutes.
